When it comes to balancing multiple projects and deadlines, I’ve found a few time management techniques that work really well for me. First, I rely on time blocking. I schedule specific blocks of time for each project or task, which helps me stay focused and avoid multitasking. By dedicating chunks of time to each priority, I ensure everything gets the attention it deserves without feeling overwhelmed.

I also use the Eisenhower Matrix to prioritize my tasks. It helps me quickly determine what’s urgent and important, what can be delegated, and what might not need my attention right away. This way, I can focus on high-impact tasks first and avoid getting bogged down by less important things.

Setting SMART goals (Specific, Measurable, Achievable, Relevant, Time-bound) for each project is also key. Breaking larger projects into smaller, manageable tasks with clear deadlines keeps me on track. And I always review my progress regularly, making adjustments to my plan as needed.

Finally, I make sure to schedule time for breaks and self-care. Staying productive long-term requires taking care of yourself, and those short breaks throughout the day keep me refreshed and more focused when I return to work.

Sadly, most of my clients want to see the finished video as soon as possible. So I end up jumping from project to project, working on several at the same time. Sometimes, it's better to start with the simplest ones, finish them quickly, and then focus on the bigger, more time-consuming projects.

I was an IT programme director for a long time and ran time management workshops for businesses. The best technique is to have what I call the "Six List." That is, you look at everything you need to do tomorrow and the next few days and select the most important six actions/tasks that will move you closer to your deadlines. Then, when you get in to work the following morning, start on the first task, and when that is completed, go on to the next until all six are completed or you run out of time. Then, create a new "Six List" for the following day. Of course, you will get pulled off task for any number of reasons, but you always go back to the list!

Iterative Workflow Processes:
Our studio adopts an iterative workflow, breaking projects into manageable phases with regular review cycles. Trello helps me organize tasks and manage deadlines effectively, especially in my freelance work. Its flexibility allows me to customize boards to suit each project's needs. Timeboxing helps a lot keeping my daily tasks organized and my mind focused on what´s important in the moment.

Slack:
Slack is essential for team communication within the studio, allowing for quick and organized interactions. It keeps everyone connected and informed, facilitating collaboration. (Some clients prefer Teams)

Iterative Workflows: Breaking projects into phases with regular reviews helps catch issues early and keeps projects aligned with goals. This approach enhances quality and efficiency in both team and solo projects.

 

Balancing multiple projects and deadlines requires a tailored approach depending on the context. Within the studio, the support of project managers and producers fosters a collaborative environment where responsibilities are shared, and communication flows through established channels. As a freelancer, self-reliance becomes key, and personal organization tools combined with proactive communication are essential.

    It is easy to keep working but sticking to your structure is healthier. Your working life does not stop today, you have to do it for years to come. So focus on what you do, to do it to the best of your abilities. Prioritize and ask your customers at what date they would be happy to complete the project. Try to overdeliver at that point or before.

    Take your breaks, and keep moving your body throughout the day because your body is the most important tool you can not trade for a new one by just putting money in it.
