Corey D. 5.0 (134) Data entry specialist Posted February 17 0 There are several best practices a business could use to ensure accuracy and efficiency in data entry. There are three practices that stand out above the rest: doule-data entry, automation tools, and Standard Operating Procedures (SOPs). Double-data entry is considered the gold standard for data entry quality assurance standards. It is simply the practice of double checking your work, or assigning peer reviews to your work to ensure you collected the right data. This can get costly however in both time and money, especially since data entry should really be done right the first time. To reduce costs, busineses can use automation tools such as no-code webscrapers, Python, Zapier, Make, or Pabbly Connect. These tools can automate various workflows by integrating ChatGPT and Perplexity, thereby streamlining online data collection and web research. The results are similar to the Pareto Principle - they return 80% of the correct results using 20% of the effort (i.e. developing the automation). You can then implement the double-data entry gold standard to clean up the results of the AI automation. This can be delegated to a virtual assistant (VA). Finally, if you manage your own agency, or are an upper-level executive of an SMB, Standard Operating Procedures (SOPs) can significantly streamline your workflows. SOPs provide a step-by-step process on how to complete certain, repeatable tasks. For example, a VA with no experience uploading products into your Shopify store. SOPs help organizations scale by allowing delegation of task to others while simultaneouly reducing errors, so you can focus your attention on higher-value work. Rimly Gohain 4.9 (532) Data entry specialist Posted January 7 0 When it comes to data entry, a mix of careful attention and smart strategies helps me stay accurate and efficient. Here's how I manage it: 1. Check as You Go: Mistakes are easier to fix when caught early. I quickly review each entry before moving on. If it's a large dataset, I randomly check a few rows to make sure everything looks right. For critical data, I compare entries directly with the original source. 2. Let Technology Help: Why do it all manually when tools can do some of the work? Pre-designed templates and dropdown menus save time and reduce errors. Validation rules in tools like Excel highlight issues right away. Automation tools like macros handle repetitive tasks for me, so I can focus on the tricky stuff. 3. Stick to One Style: Consistency makes life so much easier. I follow the same format for things like dates or phone numbers, no matter what. If codes or abbreviations are involved, I stick to the same ones across the board. Having clear entry guidelines keeps me on track and ensures everything matches up later. 4. Stay in the Zone: Distractions are the enemy of good data. I make sure my workspace is organized and my screen isn’t cluttered. Setting aside specific blocks of time helps me focus. I take regular breaks so I don’t get tired and start making silly mistakes. 5. Double-Check Smartly: You can never be too sure with important data. Sometimes, I ask someone else to review my work—fresh eyes catch what I might miss. Summarizing totals or patterns in the data helps me spot anything that feels off. Keeping track of common mistakes I make helps me avoid them in the future. 6. Practice Makes Perfect: The more I do it, the better and faster I get. I use shortcuts and hotkeys to save time where I can. If I come across a new tool, I take time to learn it properly—it pays off later. Even just practicing on dummy data helps me get more confident and precise. Final Thought Good data entry is all about being careful and using smart tools to back you up. It’s not about rushing—it’s about doing it right the first time. Bert R. 5.0 (2) Data Posted January 4 0 These is highly dependent on the use case, but here are some general best practices to maintain your data integrity. Make sure you always test data quality periodically. Things like testing for referential integrity where data in one table needs to talk to data in another table, whether on a database or in a spreadsheet/workbook. Define what fields constitute a unique row of data and test for duplication and test for overlaid/overwritten records. Use data types/data validation. If a field should only contain numbers for example, make sure that field or cell is set to only accept numerical values. This will help especially in manual data entry. Use structured values where possible and avoid free text unless absolutely necessary. For example use a drop down list or a check box to capture the value. This will help make future reporting much easier and future you/future analyst will be very appreciative. There are a lot of free software and resources to help minimize data entry errors like Microsoft Forms, Google Forms, and Microsoft Power Automate. Be sure to use these where possible and this will help significantly. Use resources like a repository, SharePoint or OneDrive where you have the ability to rollback changes in the event you do catch a mistake, it is easily addressed. Finally, repeat step 1 often. No matter how many checks and processes you put in place, if there is any level of manual entry, there will likely be an error or typo at some point and being able to proactively catch them will help minimize adverse impacts and inaccurate data. There is software that can address some of these out of the box, but there are also plenty of budget/free resources as well if you are not quite ready to invest in a software or custom solution just yet.
